Data sources are an integral part of Tonkean. Without being able to push and pull data from the applications you commonly use, we wouldn't be able to make automation happen!
We've made it incredibly simple to connect all of your applications that you use. Let's quickly discuss the ways we can integrate with other applications.
Ways To Integrate Your Software:
-
Username + Password (OAuth): This type is usually the most common. You use the same username and password as the software you'd normally sign into. A popup will open taking you to the specific application, and ask you to login. Once connected with Tonkean, you never have to login again because we've synced with that application.
-
API Key: Some tools will provide you with a secret string of letters and numbers called an API Key (or token). The common way to accomplish this is to go into the software you want to integrate, navigate to the settings where you can create an API Key, click "Create" and then copy and paste that API into Tonkean and click connect. Once complete, you won't have to login or copy that key down again; we're all synced up!
-
Webhook: These are a bit more advanced in that they just take a few more steps to set up, however, they are very powerful. Many API's are built off of Webhooks behind the scenes. We have a dedicated article for setting these up here.
Configure Your Data Sources
To configure a data source, simply navigate to:
-
Data Sources button at the top navigation menu
-
Select the " Add Data Source" button
-
Scroll through, or type in the name of the application you want to integrate
-
Click either "Authenticate with" button to open up a new window that will ask you for your login information for that application, or;
-
Enter the API Token that you were given when you requested one from the application. Click "Connect" once you have entered the API Key. Note: we usually link you directly to the webpage or help article to request an API Token.

Manage Your Data Sources
With 1000+ integrations, each one being different, there can sometimes be a lot of data, fields, and users to manage within each application. We've made it as simple to identify and manage all of these integrations.
Viewing All Of Your Integrations
-
Click on the "Data Sources" button at the top
-
There will be a rectangular box, along with the logo of the application you integrated, along with (usually) the first name of the user who is currently connected to that data source.
Viewing Your Data
To ensure that you're pulling in the appropriate data from that specific data source, you can soft-query the dataset based on any filters you'd like.
-
Click the "View Data" button on the Data Source of choice
-
A page will open up allowing you to Explore a specific dataset/entity of that piece of software. Using Hubspot as an example, we want to Explore All Companies
-
You can also filter down, bringing in only a specific data-set you want to monitor. In the below example, you'll see that pulling in just Hubspot Companies where the Industry is Equal To Computer_Software will be pulled in for this Module.
Note: you can have multiple conditions, of which ALL of them can be required, or At Least One needs to match in order for the data source to be configured. Clicking the green + button to the right of the criteria will give you the ability to add more conditions to the criteria.
The data set should automatically populate upon selecting the conditions. Ensure that the data being pulled in is correct and accurate. You can view the detailed data within Tonkean by clicking on "View" or you can click "Open" to open the actual record within the software you integrated, in a new window.
Updating Data
You'll also see when the data was last updated. Each data source is updated on a different cadence, but you can always force a data update by:
-
Clicking on the down arrow button
-
Click "Update Data"
This will ping the data source and bring back any new and relevant data.
Changing Users
Sometimes there will be a need to change the user that is currently logged into the data source (i.e. administrative permissions, employee turnover, etc.). Some integrations easily allow you to just re-login.
-
Click on the down arrow on the data source
-
Click on "Change User"
-
You'll then be prompted to login as the new user
Removing An Integration
If you ever need to remove the integration (i.e. it's no longer needed in your workflow, you've decommissioned the software, or you might just need to remove this connection and start fresh with a new one), you can simply:
-
Click on the down arrow
-
Select "Remove Integration"
-
On the pop-up prompt, ensure that you want to remove the integration and select "Remove"
Note: Removing a data integration will remove ALL of the data stored in Tonkean. This means any items within Modules will be removed.
Within data sources, there are many fields and data sets that you can pull in, all 100% custom to your needs. We recommend you review the detailed Field Mapping article to unleash the full power of your Modules!
